HR Responsibilities:
•Involved in recruitment end to end process by receiving the recruitment request, making sure the job descriptions are up to date, preparing and placing job adverts on our internal/external website, sending the advert to agencies and sending it onto jobcentre, providing the recruiting manager with all the necessary information such as a CV selection Matrix and interview question packs to ensure a fair selection process, acting as the first point of contact for recruitment agencies and applicants, providing applicants and potential applicants with all the information about the job they are applying for or current opportunities that they want to apply for, organizing interviews, making sure all applicants are informed of the outcomes and procedures by contacting applicants with regards to job offers; sending out rejection letters; passing on feedback to applicants, obtaining references and checking eligibility to work in the UK documents, drafting contracts and sending out new starter packs to successful applicants and calculating holiday for new starters.
•Issuing offer letters and contracts of employment, TUPE in/TUPE out consultation letters and welcome/leaver letters with regards to TUPE, maternity/paternity letters, invites to investigations, invites to disciplinary meetings, invites to grievances, invites to appeals, outcome letters, offer letters, leaver letters, AWOL letters and absence letters.
•Supporting the HR Officers with regards to any letters they may need drafting, sending reports to them, arranging meetings on their behalf, attending meetings and taking the minutes for any meetings that they are unable to attend.
•Supporting regional managers, senior property managers, development managers by responding to any employment queries they may have or any employee relations issues such as if an employee is not following any of the procedures that the company has in place, I would give advice on how to proceed. I also support them by providing them with information that they may request such as reports on their staff, documents required for any meetings that they may have with the employee etc.
•Collating and coordinating monthly payroll information to the Finance department by ensuring all overtimes forms are submitted along with absence forms, new starter forms, leaver forms, change of job details forms, sickness forms, p45/p46, bank detail forms, change of address forms for payslips and any other forms such as age exemption. I also have to make sure that this information has been updated onto Oracle (our HR database) and that any issues have been resolved so that employees are paid on time.
•Conducting Exit interviews for leavers and completing the necessary formalities for employees. This involves shutting their record on Oracle (HR database) and Tok-open (the HR filing database), sending on the leaver forms to the Finance department, calculating the holiday payment and sending out letters to employees that are to confirm the end of their employment.
•Maintaining the HR database, recruitment database, maternity and employee relations tracker as appropriate. Preparing reports for managers or my colleagues. I am responsible for making sure that the employee files are complete by auditing the files.
Reason for leaving: Due to the current economic climate, there is no scope for progression in my department.

March 2008 – November 2009 – HR Administrator
Recruitment
•End to end process – getting the Recruitment Approval Form approved, meeting with the recruiting manager to find out their candidate specifications for the role, advising the recruitment manager with regards to the correct process, liaising with recruitment agencies, inputting the vacancy details into the PSe recruitment system, placing the advert on the intranet/website, arranging interviews e.g. sending out rejections/interview invites, contacting candidates with regards to job offers or non-job offers, contacting referees, generating a contract on the PSe system using mail merge and meeting with the candidate to go through their paperwork/answer any questions. I also was involved in eligibility checks.
Learning and Development
•Helping with the admin for induction .g. sending invites and joining instructions to delegates, entering delegates onto the PSe system and sending out the evaluations.
•Setting up rooms for courses including induction
•Booking delegates onto courses by entering them onto the PSe training programme, sending the delegate joining instructions, generating a register using the PSe training programme and sending this onto the trainer
•Producing reports with regards to seeing what courses employees have attended particularly if they’re mandatory.
•Setting up username and passwords for employees so that they can access courses on the e-learning system.
•Update and maintain the L&D section of the intranet using Adobe Dreamweaver. This involves uploading course dates.
•Processing the Broadening Horizons benefit for employees. This is where employees can be reimbursed for courses they have paid for. I was recently responsible for updating the policy.
HR
•Entering absence forms onto the PSe database. Also entering change of details, new starters, new post details, delegates who have booked onto L&D courses and getting reports.
•Calculating annual leave for employees.
•Updating the HR telephone directory.
•Booking travel and accommodation for staff.
•Ordering stationary.
•Distributing post.
•Answering queries from internal and external customers e.g. maternity, paternity, payroll issues, absence and recruitment.
•Updating and maintaining the HR section of the intranet using Adobe Dreamweaver. This involves uploading job descriptions, adverts for new vacancies and uploading other information such as policies, benefits etc.
•Entering starter and leaver questionnaires onto an Excel database for analysis
•Writing references for employees confirming their employment details.
Project work
•File conversion project – moving personnel files from a paper based format to a non paper based format.
•Role profiles – when I first started, role profiles for employees were not stored in one place. I was responsible for moving the role profiles of every single employee into one central folder and uploading them all onto the intranet. I also set up an excel spreadsheet where information from the role profile such as pay and level was recorded. I also set up a comparison spreadsheet to record whether our pay rate matched the market rate. To aid this I created formulas so that the spreadsheet could capture any inaccuracies with regards to the levels.
SAP
•Entering an invoice into SAP so that a requisition is raised. Once the invoice has been approved I then Goods Receipt it.

October 2006 to July 2007 – Senior Administrative Assistant (CP Minute Taker) (Permanent) Council – Children, Schools and Families department – Taking the minutes for Child Protection conferences.

•Updating Staff Performance Development Records on Personnel Database by documenting the date they were Opened/Reviewed, Closed and the performance marking
